General Guidelines for Presentations:
Oral Presentations
- Font Selection: Prepare presentation slides with high visual contrast using standard fonts such as Times New Roman, Arial, and/or Helvetica. Do not use special or local language fonts, as they may cause text garbling.
- Aspect Ratio: Both 16:9 and 4:3 aspect ratios are acceptable.
- Linked Files: If your presentation includes links to external files (e.g., images, movies, graphs), please save them in the same folder and test the links in advance.
- File Naming Convention: Use the format [Session]-[Time]_[LastName]. For example, if your presentation is scheduled at 08:20 in Session A01-1 and your last name is Johnson, the filename must be A01-1_0820_Johnson.
- Timing: The total presentation time is 20 minutes for a regular presentation, which includes a 5-minute Q&A discussion. Please be punctual to keep the session on schedule. Session chairs are strictly responsible for maintaining the schedule.
- Chair Briefing: Speakers (presenting authors) must meet their Session Chairs in the designated room prior to the start of the session.
- Seating: Be seated in the designated front row facing the screen at least 5 minutes before your session begins.
- Presentation PC: Use the Windows PC provided by the convention center. Visit the PC Center to check your presentation at least 2 hours before your session starts. Ensure you review all slides.
- Personal Laptops: Use of personal laptops is strongly discouraged. Presenters who insist on using use their own laptops must check the hardware connection in their designated presentation room at least 2 hours before the session..
- macOS: Participants using a macOS are asked to save their presentations as PDF or PPTX files. The laptops in the rooms do not support presentations created using Mac software. Participants wishing to use their own MacBook are required to bring their own HDMI adapter.
- Room Equipment: Each session room is equipped with an LCD projector and a Windows PC with Microsoft PowerPoint and Adobe Acrobat Reader installed.

Guidelines for poster presentations:
- Fonts: Create your poster with high visual contrast using standard fonts (Times New Roman, Arial, and/or Helvetica). Avoid special or local language fonts to prevent text garbling.
- Dimensions & Orientation: Poster board dimensions (including frames) are 100 cm wide by 200 cm high. For optimal legibility, we recommend an A0 size with a maximum size of 90 cm (35.4 inches) in width and 120 cm (47.2 inches) in length. Posters must be displayed in portrait orientation.
- Material Restrictions: Textile posters are not accepted due to mounting difficulties. Posters must be printed on paper with a maximum weight of 200 g.
- Content Density: Ensure the poster is not overcrowded with text or numbers. It must be easily readable from a 2-meter distance.
- Board Assignment: One poster board is allocated per paper. Boards will be marked with numbers corresponding to the poster schedule in the official Program.
- Timing and location: Poster sessions run from 15:40 to 17:40 in the Foyer, on Tuesday August 18 for the Commissions A, C, E, G, J and on Thursday August 20 for the Commissions B, D, F, H, K. Authors are expected to remain at their poster boards to answer questions for the entire duration of the session

- Installation Assistance: Congress staff will be available to assist you and will provide the adhesive tape required to secure your poster.
- Disposal Policy: Posters not removed by the end of the specified removal period will be disposed of by the organizers.
- Poster Numbering: Your official paper number (e.g., P-A01-01) is listed in the scientific program on the URSI GASS 2026 website. This number will be displayed on the upper-left corner of your assigned board. Boards are grouped by Commissions and individual sessions, then numbered sequentially.
- Header Requirements: Every poster must display the paper title, author names, and institutional affiliations prominently at the top.
- Networking: Authors are strongly encouraged to bring business cards to distribute to interested attendees.
- Design Strategy: Posters should not be printed PowerPoint slides pasted onto a board. They must be a thoughtful combination of concise text and clear graphics that explain your research. Font sizes should allow the audience to read everything from 1.5 meters away, and the core significance and key conclusions of your work should be understandable within 5 minutes.
Important Requirements for All Presenters
- Language: All oral and poster presentations must be written and prepared in English.
- Logo Inclusion: All papers presented at the conference must include the official event logo. Logos can be downloaded from the conference website. here
- Registration & Agreement: Paper presentation and subsequent publication are strictly conditional upon the presenting author registering for the conference and completing the online publication agreement.
- IEEE Xplore and No-Show Policy: Please note that scheduled oral papers that are not presented onsite or by a pre-recorded video ("no-show") will not be submitted to IEEE Xplore after the conference and will be removed from the GASS Proceedings. Poster papers that are neither displayed nor attended by the author will be removed from the final URSI GASS 2026 Proceedings and will not be submitted to IEEE Xplore.
